Request site surveys and technical work from an opportunity or an order

What this does

The Survey Status tab is the salesperson's control panel for everything the technical office does on a job. It sits on the opportunity and on every quotation and order, and it is the same panel in all three places: one suggested next step, three buttons for raising requests, a six-phase bar, the state of the pre-quote survey and of the production survey, and the buttons for the step you have reached.

The opportunity is the container. Quotations, technical requests, both surveys and the release to production all hang off it, so what you raise here follows the job from the first site visit to the saw.

The panel raises the work; it does not do it. Measuring is the surveyor's job, described in Record a pre-quote site survey and Record a production site survey, and the request itself is worked by the technical office as described in Raise, assign and track technical requests.

Before you start

  • A Customer on the opportunity. Without one every request button refuses.
  • The site pin set on the Customer Location tab, so the request leaves with coordinates.
  • A deadline agreed with the customer. It is required on every request.
  • The Survey User access right for the survey buttons. Every user sees the tab and can raise a technical request; Schedule Pre-Quote, Run Step and the bottom row need Survey User, which Survey Manager includes.

Steps

  1. 01
    Open the opportunity and click Survey Status. Read the Suggested next step; on a new job it says Create Technical Request.

    Press Schedule Pre-Quote. The Schedule Pre-Quote Survey dialog opens with the request type already set to Site Survey Quote.

    Set the Deadline Date, write the Task Brief and press Create Technical Request. The request is created and a draft pre-quote survey opens; use the breadcrumb to come back.

    Read the panel: the phase bar stands on Pre-Quote Survey, the Pre-Quote card reads draft and the suggested step is Start Measuring. From here the survey team takes over.

    Follow it. Open Pre-Quote shows the latest survey with its openings and measurements; when the card reads completed or approved the suggested step becomes Create Quotation.

    Need drawings, fabrication support or anything else? Press New Technical Request, pick the type and brief it. Each request stands on its own.

    Once the customer signs, open the confirmed order's Survey Status tab: the phase reads Won and the suggested step is Schedule Production Survey. Press it there, or on the opportunity, which asks which order when there are several.

    When the Production card reads approved, press Release to Production. Check View All Previous Surveys before asking for any extra visit.

The panel, block by block

Before any request exists the panel is short: the header and the Technical Requests row. The moment a request exists, the phase bar, the three cards and the bottom row appear, and Schedule Pre-Quote leaves the top row.

What the suggested step means

WindoorERP reads the newest request, its newest pre-quote and production surveys and, on an order, whether the order is confirmed, then picks one step. The rules run top down and the first that fits wins.

Won is read from the order, so it lights only on a confirmed order's own tab, and on the request. On the opportunity the bar goes from Quotation straight to Production Survey once a production survey exists, and Schedule Production Survey is offered there as soon as no production survey exists, confirmed order or not.

One thing the step will not do. Release to Production moves nothing when no Stage when Production Ready is configured in the survey settings, and it never moves a request backwards; in both cases the press changes nothing and shows nothing.

The Create Technical Request dialog

Schedule Pre-Quote and New Technical Request open the same dialog. The first pre-selects the site-survey type and, on create, goes straight into a new draft pre-quote survey; the second leaves the type empty and lands on the request form. On the opportunity Schedule Pre-Quote is offered in the top row only until the first request exists; New Technical Request stays.

Deadline DateRequired. Becomes the request's deadline, which drives the technical office's overdue flag, its calendar and its reporting.
Request Type GuidanceAppears once a type is chosen: the type's one-line summary and its note. Read it; it says what you will get back. A copy of both is stored on the request.
Task BriefOptional, and the only instruction the team receives in writing: what to verify, site conditions, constraints, anything unusual about the openings.
Create Technical RequestCreates the request, numbered TR… and named after the number and the opportunity or the order. Customer, contact and salesperson are copied in, and from an opportunity the technical project and the site coordinates as well; the salesperson becomes its Manager, and it starts in the New stage.

A type can be set to Auto Create Survey in the technical office's configuration. A request of such a type raises its survey the moment it is created, with you as its surveyor, and no separate press is needed.

Which request the panel follows

The panel on an opportunity follows the newest request raised on it. Raise a Quote/Drawing request after the survey request and the panel switches to it: the phase bar drops back to Opportunity, the cards empty, and the suggested step reads Schedule Pre-Quote Survey again, while the survey lives on, on the earlier request. Nothing is lost. Press View All Requests, open the earlier request, and its Survey & Measurements tab shows the same panel for that request.

On a quotation or an order the panel follows the request bound to that document: its own Technical Request field when set, otherwise the newest request whose Sale Order is that document. A quotation built with Create Quotation from the survey is bound as it is created; a quotation raised by hand from the opportunity is not, and its tab starts at Create Technical Request. A request raised from an order is named after the order and linked to the opportunity behind it.

The cards follow the newest survey of each type on that request. New Pre-Quote, offered once the current pre-quote is completed or approved, creates another draft pre-quote and the Pre-Quote card follows it. Cancelled surveys are ignored throughout.

On the quotation and the confirmed order

The same panel sits on the Survey Status tab of every quotation and order, beside Delivery Location. What changes is the document's own state: once the order is confirmed, the phase reads Won and the suggested step becomes Schedule Production Survey. The production survey it creates loads its items from the order's lines, which is why it belongs to the signed document and not to the estimate.

Pressed on the opportunity, Schedule Production Survey looks for the opportunity's confirmed orders. One order: the survey is created against it. Several: the dialog above asks which, with the note This opportunity has more than one confirmed sale order. Choose the order the production survey should measure against. None: a production survey is created on the request anyway, and its items come from whatever Sale Order the request carries, which may be an unsigned quotation, or nothing at all.

Release to Production, once the production survey is approved, is the salesperson's signal that the measurements are final. It moves the request to the configured stage and writes to its chatter; it creates no manufacturing order. Releasing the factory work itself is covered in Work a confirmed sales order.

The two history lists

The Site Surveys list opened by View All Previous Surveys: two pre-quote surveys of the same technical request with their customer, surveyor, scheduled start, item counts, surveyed area, progress and status, under the Not Cancelled filter

View All Previous Surveys opens every non-cancelled survey on the request. With exactly one survey it opens that survey directly; with more, the Site Surveys list above, filtered Not Cancelled, with Survey Reference, Technical Task, Customer, Surveyor, Scheduled Start, Items, Done, Surveyed (m²), Progress % and Status. There is no type column; the reference tells the type, PQS- for a pre-quote survey and PRS- for a production survey. Open a row to read the measurements.

View All Requests lists the technical requests of the opportunity, or of the order, with their reference, name, customer, type, manager, deadline and hours. Open one to reach its own Survey & Measurements tab. The request record is described in Raise, assign and track technical requests.

Approving a survey, which turns Pre-Quote Survey — awaiting approval into Create Quotation, is a Survey Manager's act on the survey, not on this panel.

Troubleshooting

Please select a Customer before creating a technical request.: set the Customer on the opportunity or the order and press the button again. The dialog itself answers Please select a Customer on the opportunity before creating a technical request. when the customer was cleared while it was open.

The suggested step went back to Schedule Pre-Quote Survey although the survey is done: a newer request was raised on the opportunity and the panel now follows it. Open the earlier request from View All Requests.

The Pre-Quote card reads pending_approval and nothing moves: the measured area strayed past the approval threshold and a Survey Manager must approve the survey. Run Step opens it for them.

Release to Production does nothing: no Stage when Production Ready is set in the survey settings. Ask the technical office to set it.

Create a Technical Request first — the survey is part of its journey.: the request behind this document was deleted. Raise a request again.

The quotation's tab shows Create Technical Request although the opportunity has a survey: the quotation was not built from the survey, so no request is bound to it. Work from the opportunity's tab or from the request itself.

Common mistakes

  • Scheduling before the customer and the site pin are set, and sending the surveyor to a written address.
  • Raising the drawing request from the opportunity and then reading the survey's state off a panel that now follows the drawing request.
  • Reading completed as approved. Only approved lights Release to Production.
  • Writing the brief in a chat message instead of the Task Brief, which is the only instruction that travels with the request.
