11- Setup the Channels Your Customer Touches
The portal a contractor logs into, the WhatsApp number they actually message, and the website that produced the enquiry in the first place.
A contractor does not want to phone you to ask whether their windows shipped, and an architect does not want to wait a day for a drawing they already approved. Every channel in this path exists to answer a question the customer would otherwise interrupt your team to ask.
Set them up in this order — portal first, messaging second, website last — because the portal is the only one that reduces work immediately, while the website is the one that creates it. And connect the last step: a campaign link that carries its own tag is the only way to ever say which advert paid for itself.
By the end you will be able to
- Give customers a portal where they approve quotations, watch milestones and raise service requests themselves
- Route WhatsApp to the right team, with business numbers and auto-reply instead of a personal phone
- Send Meta-approved templates for quotations, delivery notices and invoices, in Arabic or English
- Run multi-agent WhatsApp conversations that capture a lead instead of ending in a private chat
- Publish the marketing pages, solution pages and lead forms that feed the pipeline from journey 3
- Manage the site itself — pages, menus, redirects — and see which visitors became enquiries
- Tag campaign links so you can say which advert produced which signed contract
Before you start
- Administrator rights, and the Website, WhatsApp and Portal modules installed
- Your CRM teams and stages configured, since these channels feed them — "3- Setup CRM and Sales"
- A WhatsApp Business account and Meta-approved templates, or the willingness to submit them and wait
- A decision on what a customer may see of their own project: prices, milestones, drawings, or all three

Move messaging off a personal phone

- 05 Put up the pages that produce enquiries The public pages, the industry solution pages and the lead forms are the top of the pipeline you configured in journey 3.
